5 Best vFairs Alternatives for Virtual Events

If you run virtual or hybrid events on vFairs, or you are weighing it against the field, the question you probably arrived with is the one people ask most about it: what does vFairs cost. There is no published answer, so this page leads with the numbers the vendors do publish, all pulled from their own pages in 2026, and says plainly where a price is missing.

The short list

  • Conference Tracker for virtual and hybrid conferences that certify attendance, from $990 per event plus its virtual add-on.
  • Expo Pass for badge-first onsite events with a virtual track, from $2,495.
  • EventMobi for association events priced per attendee, from $3,000.
  • Whova for engagement-first agendas, at quote-only pricing.
  • Accelevents for annual event portfolios, from $7,500 with virtual as a paid add-on.

How we compared

We compared published pricing, what each platform bundles versus quotes, and the virtual attendance layer in particular, because a virtual event that grants credits has to prove that someone watched, not just that they joined. Conference Tracker is our product, so we kept the method fair: every vendor’s own published numbers side by side, each one sourced, with a plain section on who should stay put. Nothing here comes from review sites.

Conference Tracker virtual conferences that certify attendance from $990 (300-attendee event), virtual add-on priced per event flat per event, no subscription, no per-attendee fees
Expo Pass badge printing and check-in from $2,495 quote built per event above the floor
EventMobi association conferences from $3,000 per event, $8,900 per year per attendee, add-ons priced separately
Whova attendee engagement not published quote request form
Accelevents registration-centric portfolios plans at $7,500 and $13,500 annual, virtual as paid add-on

What does vFairs cost, and why organizers shop around

vFairs does not publish pricing. Its pricing page is a quote form that asks which product bundle you want, from the all-in-one platform down to badge printing alone, and what kind of event you run, so the price is built around your answers. Its own pages are clear about what you are buying: immersive 3D virtual lobbies and booths, an event-type list dominated by job fairs, career fairs, and education fairs, and a managed-service team around every event, from a dedicated project manager to onsite assistance and 24/7 support.

None of that is a flaw. It is a full-service product priced by conversation, which does mean that a self-serve conference team, especially one that has to certify attendance and defend a budget line, is often shopping for something different altogether. That is the comparison below.

Conference Tracker

Check people in fast. Prove they were there.

Conference Tracker scans attendees with the phones your staff already carry, tracks time in every session, and issues certificates and CEU transcripts on its own. One conference ran 2,623 attendees across 186 sessions on it.

Conference Tracker: verified virtual attendance, from $990 per event

Conference Tracker starts at $990 for a 300-attendee event, flat per event with nothing metered per attendee and no annual subscription. Online and mixed sessions run through the Virtual Package, a paid add-on priced into the same per-event quote, and we state that up front because add-on pricing is exactly what this page exists to surface.

What no other page in this comparison states is how virtual attendance gets proven, so here is how it works. Online viewers are recorded automatically, with nobody scanning anyone, and a still-watching prompt removes idle screens after a set number of minutes, so a tab left open does not earn a credit.

Each session also carries its own presence rule, a minimum percentage or number of minutes with sign-out where staying matters, and credit can be held back until the attendee passes a quiz that only unlocks after attending or completes the session evaluation. Every credit then traces back through five-status attendance logs to the individual swipe or stream session, which is the evidence an accreditor audit asks for, and attendees download their own certificates and per-session CEU transcripts without asking anyone.

The sessions themselves stream live through Zoom or OBS or play pre-recorded video on schedule, and the virtual and hybrid product page covers the delivery options in detail.

The in-person half travels light. Staff scan on their own phones with a free app, capture keeps working offline and syncs when the venue wifi returns, and badges print on ordinary office printers. The Texas Emergency Management Conference ran 2,623 attendees across 186 sessions this way, and it went from purchase order to a running conference in 12 days.

If your virtual events end with credits to prove, request a Conference Tracker demo and price your next conference, add-on included, in one call.

The honest limits are the things vFairs leads with. There are no 3D lobbies or immersive branded environments, no facial recognition, and no managed-service team running your event for you, so an immersive career fair is vFairs’ home ground rather than ours.

Expo Pass: badge-first onsite from $2,495

Expo Pass publishes a starting price of $2,495 and leads with the onsite stack of registration, badge printing and check-in, lead capture, and attendance tracking, with virtual and hybrid capability and CE certificates listed as well. The final number comes from a quote above that floor, and its pages do not state how virtual attendance is verified.

EventMobi: association events priced per attendee

EventMobi publishes per-event pricing from $3,000 and annual pricing from $8,900, with per-attendee rates its own page puts at $1 to $3. Its check-in app records session in and out with the duration visible, and CE verification is stated. Because the extras are itemized separately, badge stock, lead capture per exhibitor, and integrations among them, price the total rather than the headline.

Whova: engagement-first at quote-only pricing

Whova publishes no pricing, and its pricing page is a quote request form. The product’s core is the attendee app and the engagement features around it, with QR check-in at event, day, and session level and certificates generated from attendance records, and it self-reports over 50,000 events across 170+ countries.

Accelevents: annual portfolios from $7,500

Accelevents publishes annual plans at $7,500 and $13,500 with unlimited events, built for teams running a calendar rather than one conference. Virtual events are a paid add-on, check-in works offline and syncs automatically, and CE credits are mentioned for session tracking. For a single yearly event, the annual commitment itself is the thing to weigh.

Where vFairs stays the right call

Keep vFairs when what you are buying is what it leads with: an immersive 3D environment for a job fair, career fair, or education fair, a dedicated project manager and onsite staff running the event with you, and multi-lingual delivery for a global audience. Those are service and production qualities, and a quote-based price is normal for them. Switching earns its cost when the event is a conference, when the requirement is provable attendance and credits, and when the budget needs a number this week.

Which alternative fits which event

Choose by what your event has to prove and by how it has to be bought. If it is a virtual conference granting credits on a fixed budget, Conference Tracker covers it from $990 plus the virtual add-on, with the audit trail built in. An annual virtual portfolio points to Accelevents, an association calendar to EventMobi per attendee, and a badge-heavy show that is adding a virtual track to Expo Pass. Whova fits an engagement-first program with the budget room to wait for a quote.

The mechanics of actually running the online event, from session length to backup plans, are in our guide to hosting a virtual conference, and the same published-pricing method covers the webinar-platform field in our Airmeet comparison. Every number above is the vendor’s own, current as of 2026.

Still reconciling sign-in sheets after the event? Conference Tracker captures attendance as it happens and issues the certificates itself.
