From Proposal to Published Agenda
Conference Tracker delivers a complete workflow for conference speaker management software and conference agenda software, designed to help you move from call for proposals to a published schedule with confidence. Start with Session Proposals. You have a built template that covers presenter details, session information, preferred format, length, and attendance mode. Expand it with the fields you need, including text, email, money, numeric, switch, dropdown, radio list, checkbox list, rich text, and file uploads. Share the form by link, embed it on your site, or promote it on social media. As submissions arrive, track progress with clear statuses, including Pending, Accepted, Rejected, and Asked for Revisions.
When you are ready to build the agenda, the Schedule Builder turns accepted proposals into a visual plan. Choose Week, Day, or List view and use the date selector, today shortcut, and navigation arrows to move quickly. Filter by room and hide already scheduled sessions to focus on open slots. Drag and drop proposals into the calendar. If a change is needed, click a session block to edit details or move the timeslot. When you save changes, Conference Tracker automatically converts the added proposals into sessions. Presenter accounts are created using the names and emails you already have, and presenters are notified of their timeslots with a single action.
Session creation is straightforward. Define a name and optional description, set start and end times using the calendar picker, and assign a location or room. Add a fee and capacity if needed, and toggle availability for online registration. For credit-bearing events, set required presence by percentage or minutes, and choose whether sign-out is required. If a quiz is part of the program, specify a passing score and build your questions and choices directly on the edit screen. You can present standard multiple choice or image-based questions, and you control which choice is correct. Quizzes are automatically graded for attendees through the web dashboard after they visit a session.
For hybrid and virtual delivery, Conference Tracker supports online and mixed attendance modes. Select your streaming service, including a built-in option, or embed from platforms that provide embed codes. If your platform uses direct links, simply paste the URL. During setup you can preview streaming and, once a virtual session ends, download the session video if needed. For in-room logistics, the Rooms section helps you define physical locations so sessions are easy to find and manage. Tracks group related sessions for both organizers and attendees, and can be offered as a bundle during registration.
On event day, registration visibility and attendance tracking are essential. Access the Registration view to see who is signed up for a session or workshop. For efficient check-in, generate Session QR codes for sign-in and sign-out. Display them on-screen or export to PDF for printing. To discourage sharing, you can set an automatic refresh interval for QR codes. After the event, use the Details view to access attendance reports and session statistics.
Presenter management is just as streamlined. Create presenters, add them to groups, and edit their profiles in seconds. Presenters have limited access and can view sessions and post to the session social feed, which keeps engagement focused. You can send login information and profile update invitations directly from the presenter list. If a presenter is no longer part of the program, remove them with a single action.
