Important: Sunset Announcement for AccuTrack, AccuSQL and AccuLite

Dear AccuTrack /AccuSQL / AccuLite User,

We are proud to have created the first ever commercial academic center management software over 25 years ago.  AccuTrack was first released in 1998 and was followed by its sister product, AccuSQL, in 2008.

We are equally proud to have served you these 25 years, helping you run your academic centers with our software. We’d like to continue doing so in the best possible way, which is why we made the difficult decision to sunset both AccuTrack and AccuSQL. These applications have had their last major updates in 2020 and are built upon older technology – Visual FoxPro (VFP).  We are also sunsetting AccuLite, which based on the first release of AccuTrack and also built with VFP.

VFP is a Microsoft relational database management system that was state-of-the-art technology when we created AccuTrack and AccuSQL. Unfortunately, this technology is now outdated, and Microsoft ended its extended support for VFP in 2015. In March of 2021, Microsoft released a security update to Visual FoxPro, and that was the last update to VFP.

While applications built with VFP like AccuTrack and AccuSQL continue to work, there is no guarantee that they will keep working in the future.  In addition, there are limitations and risks associated with using legacy applications.  Because of the above, we are announcing the sunset of these applications and their add-ons.  This means the following:

  1. There will be no more updates nor upgrades to AccuTrack, AccuSQL, nor their add-ons: WebGateway, ComputerLab, WaitingList, StaffTab, SignInTab, StaffPanel, and iAccu.
  2. Technical support for the above products via phone, email, live assistance sessions, and ticketing system will not be offered to users who do not have a current support plan.
  3. While we will continue to provide technical support to users of the above products who have an active support plan, we will no longer renew these support plans when they expire.
  4. Technical resources like online user manuals, KB articles, videos and support forums could be taken down after the expiration of the active support plans.
  5. Replacement installation CDs will not be offered and online software downloads may no longer be available once the active plans expire.

If you are still using AccuTrack/AccuSQL/AccuLite, we strongly recommend that you transition to their newer derivative – Accudemia: 

  • Accudemia was based on its older siblings AccuTrack/AccuSQL, thus it has equivalent functionality and similar feel.
  • You can use the same sign-in station and student ID Card reader / swiper that you now use with AccuTrack/AccuSQL/AccuLite with Accudemia.
  • You should be able to use the same import files you use with AccuTrack/AccuSQL with Accudemia.  Some minor adjustments might be needed to import your courses (AccuTrack and AccuSQL did not have a field for courses like Accudemia does, but most users imported these into “Activities”).
  • Accudemia is a mature and proven academic center management system that has been used by hundreds of academic centers for many years now.
  • Accudemia is cloud-based and thus can be used from anywhere at any time without needing pre-installation on the computer.  All you need is a web browser.
  • Since it is a cloud product, you do not need to use your IT department resources for installing, maintaining, supporting, and updating the system.
  • You will always be running the latest version of Accudemia as it gets updated on the cloud.  Accudemia’s latest update was released just last week!
  • With the complimentary Accudemia mobile app for both Apple and Android devices, your students will have easy access to their appointments and visits data.
  • The system has built-in support for virtual meetings between your staff and students.
  • The system allows you to support your students asynchronously via the Accudemia drop box.
  • In addition to tracking visits and managing appointments, the system offers a dozen different tools including student intake management, room reservations, material checkouts, seminar management, feedback collection, communication, and more!  These features are included in Accudemia at no additional cost.

NOTE: If your center has a small budget, we offer a “Light” version of Accudemia that offers less capabilities but at a lower cost.  Contact us for the details.

To ease your transition from to Accudemia, we are pleased to offer you a complimentary Accudemia account and complimentary tech support!  Here are the details:

  1. If you have an active AccuTrack / AccuSQL subscription, then the complimentary Accudemia account will be active until the expiration of your current AccuTrack/AccuSQL subscription.  For example, if you have an AccuSQL subscription valid until March 1, 2025, then we will provide you with a complimentary Accudemia account until March 1, 2025.
  2. If you do not have an active AccuTrack/AccuSQL plan, or if your support plan expires before the end of this year, or if you have AccuLite, then we will provide you with a complimentary Accudemia account until December 31, 2024.
  3. We will provide you with technical assistance in your transition including a data transfer tool to enable you to get up and running quickly with Accudemia using data imported from your AccuTrack/AccuSQL software.
  4. You will have complimentary support and training with your complimentary Accudemia account.
  5. When the complimentary Accudemia account expires at the end of this year or sometime next year, you will have the option to renew it at the regular Accudemia subscription fee.
