Advising Center Software for Appointments and Walk-Ins
Students book their advisor online or check in when they walk in. Advisors see who is waiting and why, every meeting is logged, and your reports show how many students each advisor met.

An Advising Office Runs as Its Own Center
In Accudemia, your advising office is a center with its own services, staff hours and booking rules. Each center can rename Tutor, Accudemia’s default word for staff, so your students book an Advisor and a coaching center can use Coach.
Accudemia Light runs one center with appointments, check-in, the waiting line, meeting logs and scheduled reports. The full Accudemia License runs several centers and adds faculty referrals, joining the line from a phone, and calendar sync.
How Advising Center Software Works in Accudemia
Students book from their own login in Accudemia’s appointment scheduler. They pick the service, the advisor, and a time, and Accudemia offers only the times your rules allow: how far ahead students may book, how many appointments they may hold each week, and how close to the start they may cancel.
A student can be limited to their assigned advisors, and those assignments can be imported from a CSV file rather than entered one by one. Students can also be kept from booking over their own classes.
Reminders go out by email and text message before each appointment. If the student does not check in within the window you set, Accudemia records a no-show.
Appointments can be in person or online, in Zoom or another video platform. Southern University at Shreveport’s Center for Student Success books both. In an Accudemia user spotlight video, it named the appointment scheduler as the feature that helped its success coaches and advisors most.
Walk-ins and the waiting line
Students who walk in join a waiting line and give a reason for the visit as they join, so staff know why each student came. Staff call the next student to the advisor they chose or to whoever is free.
An advisor can be alerted by email, text message, or a sound on screen when a student who chose them is waiting. A lobby monitor shows the line with each student’s place and expected wait. With the full Accudemia License, students also see the line and join it from their phone before they walk over.
The Wait Times report shows the waits students actually had. Traffic Analysis shows the busiest hours of the day and weeks of the term, so next term’s desk schedule starts from this term’s numbers.
Check-in at the desk or on a tablet
Students check in by swiping their ID card, typing their ID, or scanning a QR code in the Accudemia app. A check-in station set to appointments only shows a student their appointment at check-in, and the appointment updates to in progress on its own.
The station runs in a browser on a front-desk computer, or in the AccuKiosk app on an iPad or Android tablet. A student who is not in the system yet registers at the station with a name and ID, then checks in.
A log of every meeting
Every visit and appointment leaves a session log recording who met, when, and for which service. Advisors add comments and attach files, and these stay with your staff unless you share them in a report.
Advisors see their own meetings by default, and you can open every advisor’s logs to the whole team. If a record is edited later, the audit trail shows who made the change and what it was.
For a structured record, you design a one-page form that advisors complete after each meeting, with multiple-choice and written questions. The assessment report then shows what each advisor wrote.
Faculty referrals that reach an advisor
An instructor who is worried about a student, for repeated absences or low grades, raises a referral on a form your center designs. The referral emails the person it names to follow up, and its status shows whether anyone owns it and whether it is past due.
Kishwaukee College sends faculty concerns to its advisors, who enter them as Accudemia referrals and track whether the referred students come in. At Southern University at Shreveport, each referral goes to a success coach, and the instructor who raised it hears about every contact until the referral closes. Referrals come with the full Accudemia License.
Numbers for your dean
The Attendance Summary totals visits and time by service, advisor, and location, and the Attendance Summary Comparison report puts two terms side by side. Zero Visits lists the students who never came in during the period; run it for a student group and it becomes an outreach list.
Reports go out on a schedule to named people or to all active advisors. Each advisor’s copy can be limited to the meetings that advisor took part in.
Advising beside tutoring and other offices
East Carolina University’s Pirate Academic Success Center runs academic coaching and tutoring as two Accudemia centers, each with its own policies. Albany Technical College runs its Career Development Services and help desk locations on Accudemia alongside tutoring.
Records, hosting, and who makes it
Accudemia is made by Engineerica Systems, which has built academic and event software since 1994, and 96 percent of institutions using Accudemia renew each year, by Engineerica’s 2024 to 2025 figures. Engineerica hosts it in the Amazon cloud and you use it in a web browser, with campus single sign-on available.
Accudemia takes your students, classes, and enrollment from your student information system on a schedule, including the single-file extracts that Banner, PeopleSoft, and Datatel produce, so rosters stay current without retyping. Prices for both editions are on the Accudemia pricing page.
