Engineerica Systems, Inc. (“Engineerica,” “we,” “our,” or “us”) provides the AccuMembership hosted software platform (“Service”) for associations and organizations (“Customers”) to manage memberships, member communications, websites, and related activities.
This Privacy Policy explains how we collect, use, disclose, and protect information in connection with the Service and our websites.
1. Scope of This Policy
This Privacy Policy applies to:
- Information processed through the AccuMembership Service
- Information collected through Engineerica websites
- Information provided by Customers, prospective customers, and users
This policy does not apply to third-party services that integrate with the Service.
2. Customer Role and Data Responsibility
AccuMembership is designed for use by organizations to manage their members.
- Customer is the owner and controller of member data.
- Engineerica acts as a service provider (data processor) and processes personal data only on Customer’s instructions and to provide the Service.
- Engineerica does not have a direct relationship with Customer’s members.
Requests regarding member data (such as access, correction, or deletion) should be directed to the relevant Customer organization.
3. Information Processed Through the Service
Customers may use the Service to collect and manage information such as:
- Names and contact information
- Membership status and history
- Login credentials
- Communication preferences
- Conference attendance records or participation data
- Website content and member-provided information
- Payment status and transaction identifiers
Engineerica processes this information solely to provide, maintain, and improve the Service.
4. Integration with Other Engineerica Services
If Customer licenses additional Engineerica products (such as Conference Tracker), Customer data may be shared between such services to enable integrated functionality. This may include synchronization of member lists, conference attendance records, and eligibility for member benefits or pricing.
Such data sharing occurs solely to provide services requested by Customer and under Customer’s direction. Engineerica does not share Customer data between different Customer organizations.
5. Payment Processing
The Service may integrate with third-party payment processors selected and configured by Customer (such as Stripe). Payment card information is entered directly into the payment processor’s secure systems.
Engineerica does not collect, store, or process full payment card numbers and is not responsible for the performance, security, or compliance of third-party payment processors.
The Service may store limited payment-related metadata (such as transaction status or identifiers) for reporting and operational purposes.
Customer is responsible for its payment processing arrangements and compliance with applicable financial regulations.
6. Information Collected Directly by Engineerica
Engineerica may collect information such as:
- Customer contact and billing information
- Account administrator details
- Support communications
- Usage logs and diagnostic information
- Website analytics and cookies
This information is used to:
- Provide customer support
- Maintain system security and performance
- Process billing
- Improve the Service
- Communicate service updates
7. Communications Sent Through the Service
Customers may use the Service to send communications to their members, including emails, notifications, or announcements.
Customer is solely responsible for the content of communications and for compliance with applicable communications, privacy, and anti-spam laws, including obtaining any required consents from members.
Engineerica acts solely as a technology provider for such communications.
8. Data Retention
Engineerica retains Customer data for as long as the Customer account remains active.
After account termination, data may be retained for a reasonable period to allow Customer data export, resolve disputes, comply with legal obligations, and maintain system backups.
Data may be permanently deleted after this retention period.
9. Data Security
Engineerica implements reasonable administrative, technical, and physical safeguards designed to protect Customer data. These measures may include secure hosting environments, encrypted communications, access controls, and system monitoring.
However, no system can be guaranteed to be completely secure.
10. Cookies and Tracking Technologies
Engineerica websites and the Service may use cookies and similar technologies to:
- Maintain secure login sessions
- Remember user preferences
- Analyze usage and improve functionality
Users may control cookie settings through their browser.
11. Third-Party Services
The Service may rely on third-party providers such as payment processors, messaging services, and hosting or infrastructure providers. Engineerica is not responsible for the privacy or security practices of such third parties.

Engineerica may disclose information if required to do so by law, regulation, or valid legal process, or when necessary to protect rights, safety, or the integrity of the Service.
13. Data Hosting
Customer data and related backups are primarily hosted in secure cloud infrastructure located in the United States, including services provided by Amazon Web Services (AWS).
Customer data may also be processed by other trusted service providers that support the operation, security, and performance of the Service..
14. Changes to This Privacy Policy
Engineerica may update this Privacy Policy from time to time. The most current version will always be posted at:

Continued use of the Service after changes become effective constitutes acceptance of the updated policy.
