End-to-End Virtual Sign-In Workflow
Accudemia enables a complete virtual sign in tutoring workflow by replacing a physical kiosk with a secure URL students can use from any device. Administrators and authorized staff create Virtual Sign-In Links under Centers > Virtual Sign-In > Manage Links. Each link operates like a Virtual Kiosk, applying the same rules as your walk-ins while giving you precise control over instructions, selections, access windows, and how students connect to sessions.
Start by crafting clear guidance for students that appears before sign-in. You can write this message directly or use the built-in AI Assistant to draft or refine the copy. Avoid sharing personal information when using the assistant. Next, streamline the student journey by preselecting items such as Service, Subject Area, Instructor, or Tutor. These presets reduce friction and ensure that only the tutors scheduled for the selected services and courses are shown to students.
Define what happens after sign-in and how students will join the session. Accudemia can route students using the Tutor Connect Link stored on each tutor profile, or a fixed Connect Link from your meeting platform of choice. If both are configured, Accudemia prioritizes the Tutor Connect Link and falls back to the fixed link when needed. You may optionally allow students to join directly from the waiting line. When this is enabled, no session log is created until a formal sign-in occurs, so plan to create logs afterward if necessary. Set an expiration time on every link to prevent unintended access via old URLs.
Give each Virtual Kiosk a clear name and an optional description, ideally including the relevant center or classroom to simplify management at scale. After saving, Accudemia presents a shareable link that you can distribute through your usual channels. For quick student access, add the link to the Accudemia Home Page via Administration > Control Panel > Announcements. You can also generate a QR code to make mobile sign-ins fast and convenient.
If your tutoring center runs virtual drop-ins on a schedule, configure weekly Drop-In Times to control when links are active each day. Create one-off Exceptions for special dates or changes in hours. Exceptions override weekly rules for their specified dates. For classroom scenarios, build Virtual Sign-In Links that automatically present the class occurring at the current time in the selected room. Students should use the link a few minutes before the class begins, within the window defined by your administrator, typically 5 to 10 minutes before and after the start time.
Accudemia offers flexible meeting connections. You can enable a direct Zoom integration for staff with paid Zoom accounts, or remain platform-agnostic by using a fixed Connect Link when the Connect Link field is enabled for users. This flexibility ensures your virtual sign in tutoring process aligns with your technology standards.
Daily operations are straightforward. From the Manage Links page, you can Share to copy the URL or download a QR code, Edit to update configurations, Clone to reuse a proven setup for new sessions, and Delete to remove links you no longer need. Note that deletion is permanent. For testing, make sure the account you use has the Student role, since virtual sign-in links are exclusively for students.
With Accudemia, students enter the queue and connect to sessions through a controlled, web-based flow, while your center maintains oversight through presets, timed access, and connection options that match your policies.
