This Privacy Policy explains what information we collect, how we use it, how we protect it, and the choices available to our customers and users.
By using the Service, you agree to the practices described in this Privacy Policy.
1. Information We Collect
The Service may collect information provided by educational institutions and authorized users, including:
Account Information
- Name
- Email address
- Username
- User role
- Authentication information
Educational and Academic Records
Depending on how the institution uses Accudemia, the Service may contain:
- Student identification numbers
- Attendance records
- Appointment records
- Tutoring records
- Advising records
- Session notes
- Assessment records
- Academic support records
- Uploaded documents
- Other educational information entered by the institution
Technical Information
We may automatically collect:
- IP addresses
- Browser information
- Device information
- Operating system information
- Login activity
- Usage statistics
- Error logs
2. Educational Records and FERPA
Accudemia is designed for use by educational institutions.
Information stored in the Service may constitute educational records protected under the Family Educational Rights and Privacy Act (FERPA) and other applicable privacy laws.
Educational institutions remain the owners and controllers of their educational records.
Engineerica acts as a school official with a legitimate educational interest solely for the purpose of providing the Service to the institution.
Engineerica processes educational records only as instructed by the institution and only to provide, maintain, secure, support, and improve the Service.
Engineerica does not acquire ownership of educational records.
Questions regarding access to or correction of educational records should be directed to the educational institution responsible for the records.
3. How We Use Information
We use information to:
- Provide and operate the Service
- Authenticate users
- Schedule appointments
- Track attendance and participation
- Generate reports and analytics
- Provide customer support
- Improve functionality and performance
- Maintain security
- Detect and prevent fraud or misuse
- Comply with legal obligations
Engineerica does not sell Customer data.
Engineerica does not use Customer data for third-party advertising or marketing purposes.
4. Communications Sent Through the Service
The Service may send communications on behalf of educational institutions, including:

- Appointment reminders

- Session reminders
- Email notifications
- SMS/text messages
- Administrative announcements
Engineerica may utilize third-party communications providers to deliver such messages.
Only information necessary to deliver the communication may be shared with such providers.
Educational institutions remain responsible for obtaining any required permissions or consents necessary to send communications to their users.
5. AI-Assisted Features
Certain optional features within the Service may utilize artificial intelligence technologies to assist users with generating, revising, summarizing, or improving content.
Engineerica does not intentionally submit student names, student identification numbers, email addresses, or other personally identifiable student information to AI service providers as part of these features.
Users are encouraged to avoid including educational records, personally identifiable information, or other confidential information when using AI-assisted features.
Information submitted to AI-assisted features may be processed by third-party AI providers solely for the purpose of generating requested results.
AI-generated content should always be reviewed by the user before use.
6. Information Sharing and Disclosure
Engineerica does not sell Customer data.
We may share information only as necessary to:
- Provide the Service
- Deliver communications
- Host and secure the Service
- Process support requests
- Comply with legal obligations
- Protect the rights, safety, and security of users, institutions, or Engineerica
We may share information with trusted service providers acting on our behalf and subject to appropriate confidentiality and security obligations.

Engineerica utilizes third-party providers to support operation of the Service.
Such providers may provide:
- Cloud hosting

Customer data and backups are hosted in the United States using cloud infrastructure provided by Amazon Web Services (AWS) and other supporting technologies.
Engineerica utilizes Cloudflare and other security technologies to help protect the Service from denial-of-service attacks, malicious traffic, and other security threats.
Engineerica may utilize additional third-party providers to support hosting, communications, monitoring, backup, security, and related operational services.
9. Cookies and Similar Technologies
The Service may utilize cookies, session identifiers, and similar technologies to:
- Maintain user sessions
- Authenticate users
- Remember preferences
- Improve performance
- Analyze usage patterns
- Support security functions
Users may configure browser settings to limit or disable certain cookies; however, portions of the Service may not function properly if cookies are disabled.
10. Security
Engineerica maintains commercially reasonable administrative, technical, and physical safeguards designed to protect information stored within the Service.
Such safeguards may include:
- Access controls and user authentication mechanisms;
- Encryption technologies;
- Security monitoring and logging;
- Backup and disaster recovery procedures;
- Network security technologies; and
- Other security measures appropriate to the nature of the Service.
Engineerica utilizes third-party infrastructure and security providers, including Amazon Web Services (AWS), Cloudflare, and other service providers, to help host, secure, monitor, and operate the Service.
While Engineerica takes reasonable measures to protect information stored within the Service, no method of electronic storage, transmission, or processing can guarantee absolute security.
Educational institutions remain responsible for determining what information is stored within the Service, managing user permissions and access rights, and complying with applicable privacy laws and institutional policies, including FERPA.
Engineerica acts as a school official with a legitimate educational interest solely for the purpose of providing the Service and accesses educational records only as necessary to provide, maintain, secure, support, or improve the Service.
11. Customer Communications
Engineerica may communicate with administrators and authorized contacts regarding:
- Product updates
- Service announcements
- Security notifications
- Maintenance notices
- Training opportunities
- Webinar invitations
- Educational resources
- Support matters
These communications are related to the operation, support, and improvement of the Service.
12. Data Retention and Deletion
Educational institutions are responsible for obtaining any reports, exports, or other information available through the Service prior to expiration or termination of their subscription.
Upon expiration or termination of a subscription, access to the Service and Customer data will cease.
Customer data may remain stored for a limited period following expiration or termination. Unless otherwise agreed in writing, Customer data and account information may be permanently deleted approximately thirty (30) days after expiration or termination.
Copies of Customer data contained in system backups may persist for a limited period thereafter as part of Engineerica’s normal backup retention processes.
Once Customer data and applicable backup copies have been deleted, the data is permanently removed and may no longer be available for recovery, restoration, export, or access by either the Customer or Engineerica.
13. Legal Disclosure
Engineerica may disclose information when required to:
- Comply with applicable laws
- Respond to lawful requests from governmental authorities
- Enforce agreements
- Protect the rights, property, or safety of users, institutions, or Engineerica
14. Changes to This Privacy Policy
Engineerica may update this Privacy Policy from time to time.

Continued use of the Service after updates become effective constitutes acceptance of the revised Privacy Policy.
