INSTITUTION-WIDE STUDENT TRACKING & RETENTION SYSTEM

21 August 2015

Special Invitation

You are invited to apply for a complimentary fall semester account of AccuCampus, our new cloud-based student tracking and retention system.

What is it?

AccuCampus is an institution-wide solution for increasing student engagement through collaboration, management, and assessment of student resources.  The cloud-based system will connect your student services and foster collaboration among your staff to help them help your students to succeed. AccuCampus also empowers students by providing them with the help they need and directing them to available campus resources.  Use this software anywhere you need to track students including advising, counseling, tutoring, disability office, student support center, gym, health clinic, and virtually any student service office.  Each of these offices can have their own AccuCampus account with its staff, services and settings.  Still the system works institution-wide enabling these offices to collaborate.

AccuCampus includes the following capabilities:

  • Academic Center Management including visits tracking, appointment management, session log, intake system / waiting list, who's in, and more.
  • Student tracking across different campus services.
  • Individual Student Action Plan to aid in student success and retention.
  • College-level and Center-level Analytics using Excel charts including traffic analysis, service loads, and more.
  • Data analysis based on student demographics.  The profile can be set differently per center, and you control the visibility of the different profiles.
  • Class Attendance Tracking with manual roll call or automated sign-ins / sign-outs with time clocks, proximity cards, mobile devices, and other methods.  Useful for retention.
  • Event Attendance Tracking. Use for tracking orientations, Welcome to the Major events, athletic games, etc.
  • Amazing student tagging capaiblity.  This allows you to flag certain Students based on Custom Rules you setup in the software.  You really must see this one to appreciate this feature!
  • Automatic event triggers.   For example, allow students who attended orientation to schedule appointments with advisors.
  • And more!

How is AccuCampus different from AccuTrack/AccuSQL?

AccuTrack and its sister product AccuSQL are academic center management applications.  For example, you can use AccuTrack/AccuSQL for managing your tutoring center or advising center.  On the other hand, AccuCampus is designed to be used at the institution-level.  When we designed AccuCampus we took the great center-level features in AccuTrack/AccuSQL and put them in AccuCampus.  We also removed the limitations that AccuTrack/AccuSQL faced when used at the institution level.  For example:

  1. Instead of a single shared student profile we made it possible for each center to have their own student profile.  Even better, each center can control the visibility of its profile questions.  For example, the Disabilities Office can hide the question specifying the type of disability the student has, and so on.
  2. We made most options in AccuCampus configurable at the center level.  Instead of global options that apply to all centers, each center is free to set the options to the way they do business.
  3. We added scope to administrators, so now a tutoring center administrator can only access her center's functions.
  4. We made it easy to access AccuCampus.  Anyone with an account can access the software online from anywhere.  No installation CD and no need to wait for IT to get it going.
  5. We changed the fields in the system to match those used by the institution.  Now when you sign in to a center as a student you will see your registered courses and select from center's services.
  6. We added powerful class attendance module to not only increase the utility of AccuCampus but to help in student retention.

How is AccuCampus different from Accudemia?

Like AccuTrack, Accudemia is an academic center management application.  On the other hand, AccuCampus is designed to be used at the entire institution.  While we used many of the great center-level functions of Accudemia in AccuCampus, we basically re-wrote AccuCampus from the scratch to optimize it for use as institution-level software.  Here are some examples of differences between the two:

  1. Instead of having to use the same terms in all centers (e.g. 'tutor' or 'staff'), you can select whatever terminology you would like to use at each center in AccuCampus.
  2. The import process was greatly optimized.
  3. Instead of a single shared student profile we made it possible for each center to have their own student profile.  Even better, each center can control the visibility of its profile questions.  For example, the Disabilities Office can hide the question specifying the type of disability the student may have, and so on.
  4. We increased the speed of important processes.  For example, the waiting list updates in real-time in AccuCampus.
  5. We made most options in AccuCampus configurable at the center level instead of global level for all options.
  6. We added scope to administrators, so now a tutoring center administrator can only access her center's functions.
  7. We changed the fields in the system to match those used by the institution.  Now when you sign in to a center as a student you will see your registered courses and select from center's services.
  8. We added powerful class attendance module to not only increase the utility of AccuCampus but to help in student retention.  Actually this module came from AccuClass, our amazing class-attendance tracking system.
  9. We added student tags for a powerful way to perform many event driven functions (e.g. tag at-risk students, tag ESL students, etc.)
  10. We added powerful Excel reports based on AccuTrack charts.

How much does it cost?

The good news is that at this time we are offering AccuCampus for free!  Why?  We believe feedback from actual users is very valuable that we are willing to provide the service for free in return for the feedback. The feedback will help us make the software even better.  This is also helpful for the institutions giving the feedback because they get to influence future releases of the software so it works better for them.  In addition to the free software license, users will also get complimentary technical support while using AccuCampus.

This is a win-win situation.  Of course we can only offer the free accounts and support for a limited time (one to maybe two semesters).  Once we are satisfied that we have all the feedback we need, we will give users the option to either stop using AccuCampus at the end of their semester, or pay the license fee and continue using it.  It's up to you.

How do I get it?

There are a few conditions for getting accepted into this program:

  1. You must use the software either at one or more academic centers and/or one or more classrooms.  Since we are seeking feedback, you will need to use AccuCampus in a real usage environment.
  2. You need you to provide feedback on your usage.  Let us know how the software works for you, what you like and what you do not like, any issues you have, your improvement ideas, etc.
  3. You need someone with strong technical skills to manage the account at your institution.  While there is no IT effort involved at your end - this is cloud-based service so you do not need to install software, web servers, etc., you still need someone who understand how to import your data, set up the software, etc.  Our support team will work closely with your AccuCampus technical contact, but we need a capable person who understands technology well and can learn quickly.
  4. You must keep information about AccuCampus confidential within your institution.  You cannot share the technical details, specification, features, and other info about AccuCampus with people outside of your institution.

To apply, email us at accucampus@newsite.engineerica.com with the following:

  1. Your name, job title, phone number, email address and institution.
  2. How you will use AccuCampus during the test period (e.g. at the advising center, at 5 classes, etc.)
  3. Approximate dates for your test (start and end dates).
  4. Who will be your AccuCampus technical contact and their background.

Thanks! Let us know if you have any questions.
