Details about Our Learning Assistance Center and Our Use of AccuTrack

Pulaski Technical College (PTC) is located in beautiful central Arkansas. PTC is a two-year college with an enrollment of approximately 12,000 students. It is the largest two-year college and the fifth largest public higher education institute in Arkansas. PTC has seven locations across central Arkansas.

The AccuTrack software is used in the Learning Assistance Center (LAC) at three of those locations: North Little Rock, Little Rock West, and Little Rock South. At each location, the software is used to track both employees and students. We use the software as a time clock for the employees. All LAC employees are required to sign in and out of the AccTrack system for every shift they work, and they are required to print and submit a copy of the report to their supervisor with each time sheet they submit. This is a way for the supervisor to ensure that all employees are showing up for work on time and staying for their entire shift. This is essential since there is only one supervisor for all three campuses.

We also use the software to track students. Each time a student comes to the center, he/she must sign in and out of the AccuTrack system. The student signs in for a particular tutor and subject. At the end of the semester, the supervisor generates a report that contains the number of visits, number of visitors, and number of hours worked for each location. The supervisor also generates a report that contains the number of hours worked by discipline for each tutor. Both reports are used to generate graphs and charts, and these are given to upper administration at the end of each semester. These graphs and charts help justify our budget. We have also used these reports to receive additional grant money for the LAC. Our most current report, the report for Fall 2012, is below.


The LAC at PTC is certified by the College Reading and Learning Association. We are currently certified at Level 2.

 

Further details about each LAC location at PTC are provided below.

North Little Rock LAC

The North Little Rock LAC consists of a tutoring and computer lab. In the North Little Rock tutoring lab, we have math, science, English, accounting, speech, and Spanish tutors. In the computer lab, we have approximately 30 computers for students to use for their school work. On average, approximately 1,600 students visit the North Little Rock LAC during the spring and fall semesters. In the summer, the North Little Rock LAC receives visits from approximately 400 students. In the spring and fall semesters, the lab is generally open from 8 A.M. until 8 P.M. Monday through Thursday, 8 A.M. until 2 P.M. on Friday, and 8 A.M. until 2 P.M. on Saturday (computer lab only on Saturdays). In the summer, the North Little Rock LAC is generally open from 8 A.M. until 6 P.M. Monday through Thursday and 8 A.M. until 2 P.M. on Friday. Below are pictures of the North Little Rock LAC.

The Little Rock West LAC

The Little Rock West LAC consists of a tutoring and computer lab. In the Little Rock West tutoring lab, we have math, science, English, speech, computer applications and Spanish tutors. In the computer lab, we have approximately 30 computers for students to use for their school work. On average, approximately 900 students visit the Little Rock West LAC during the spring and fall semesters. In the summer, the Little Rock West LAC receives visits from approximately 100 students. In the spring and fall semesters, the lab is generally open from 8 A.M. until 7 P.M. Monday through Thursday and 8 A.M. until 2 P.M. on Friday. In the summer, the Little Rock West LAC is generally open from 8 A.M. until 6 P.M. Monday through Thursday and 8 A.M. until 2 P.M. on Friday. Little Rock South LAC

The Little Rock South LAC has a tutoring lab only. In the Little Rock South tutoring lab, we have math, science, English, speech, and statistics tutors. We have approximately 10 computers for students to use for their school work. On average, approximately 1,200 students visit the Little Rock South LAC during the spring and fall semesters. In the summer, the Little Rock South LAC receives visits from approximately 80 students. In the spring, fall, and summer semesters, the lab is generally open from 8 A.M. until 6 P.M. Monday through Thursday and 8 A.M. until 2 P.M. on Friday. Below are pictures of the Little Rock South LAC.

    
AccuTrack as a Time Clock

As stated earlier, we use the AccuTrack software for both students and employees. Before using the AccuTrack software as a time clock for the employees, we were having problems with tutors showing up late for work or leaving early. The lab supervisor was receving complaints from students and instructors about the lab being closed when tutors were supposed to be working. Since there is only one supervisor for all three locations, it is impossible for the supervisor to be everywhere at once in order to make sure all employees are coming to work on time and staying for their entire shift, so we decided to require the tutors to begin using the AccuTrack as a time clock. This has eliminated the issue of tardiness and leaving early as the tutors now know that the supervisor can easily tell whether or not they are at work when they are supposed to be.

Summary

Before using the AccuTrack system we were having students sign in and out using a log book. At the end of each semester, we would have 50 to 70 pages in the log book (this was we had only one lab at the North Little Rock location). It would take weeks for the supervisor to generate electronic reports, charts, and graphs from these log books. When the college began to grow and the LAC expanded to other campuses, we quickly realized that we would have to have a better system for tracking students. Otherwise, it would soon take months to generate reports. We researched a few software programs and ultimately chose the AccuTrack system because of the reasonable price and great customer service.

In summary, the AccuTrack system has greatly improved our lab by making it much easier to track employees and students and to generate reports, graphs, and charts to send to the upper administrators who control the budgets. The AccuTrack reports have even helped use secure several grants for the LAC. We are certainly glad that we discovered this software, and we plan to use it for many years.
